Delivery Operations Specialist

This role sits at the center of how delivery actually gets tracked and steered across the company. You'll provide oversight of project governance and delivery across our portfolio, keeping it aligned with company priorities and connected across departments - Software Delivery, Customer Success, People.

You'll drive portfolio-level visibility into progress, capacity, and delivery health - building the reporting and data layer that leaders and Customer Success rely on to make informed decisions and keep execution consistent, instead of finding out about problems after they've already escalated. That includes owning the financial backbone of delivery: margin, utilization, and forecasting per project and per client.

The company is currently in the middle of a transition - processes, structure, and operational tooling are still taking shape. • Understanding of services-company finance: person cost vs. project revenue, margin, utilization, forecasting - this is the main axis of reporting in this role

• Experience at the level of building solutions: database structure, relations, formulas, automations, views. Ease to adjust to company toolset

• Strong spreadsheet skills (advanced formulas, pivot tables, modeling)

• Experience with operational work: frequent context switching, urgent requests, handling internal stakeholders

• Meticulous with data and self-sufficient in running your own area

• A habit of documenting processes

• Fluent Polish and English

Responsibilities

• Providing oversight of project governance and delivery health across the portfolio - tracking progress, capacity, and risk, and surfacing issues to leaders before they escalate

• Building and maintaining data views for Head of Service Delivery: team composition, open recruitment, financial health, and risk per project

• Day-to-day handling of people-to-project allocation: assignments, shifts, availability for new work, bench administration

• Monthly portfolio financial close: matching people costs against project revenue, reporting margins per project and per client, checking data consistency - you get personnel costs ready-made from the payroll specialist; your job is mapping them correctly to projects and calculating profitability

• Updating the financial forecasting model (revenue, utilization, margin per project) and reviewing assumptions with managers every month

• Automating notifications for operational events (e.g. a new person joins a project, a recruitment opens)

• Preparing agendas for recurring reviews based on data, and holding the standard for notes and follow-up actions

• Documenting the processes you run

Nice to have

• Hands-on experience automating data flows with tools like Make/Zapier/n8n, or scripting against APIs

• Experience with a PSA or resource-planning tool (Productive, Scoro, Kantata, Rocketlane, Float, Runn, Harvest, Tempo)

• Involvement in implementing or migrating an operational or financial tool

• Experience reporting project or portfolio profitability (margins, team costs, revenue per client)

• Experience preparing analysis for management decisions

Where this role sits

Staffing and financial decisions stay with the managers - you supply the data, analysis, and recommendations those decisions are based on, and you partner with leaders and Project Managers to anticipate risk and clear the way for delivery. The growth path runs through expanding ownership: from processes, to the company's data architecture, to selecting, implementing, and evolving operational tools.
